ChatGPT User Guide: Switch Between Personal and Team Workspaces and Manage Permissions

2/17/2026
ChatGPT

This ChatGPT user guide focuses specifically on how to switch “ChatGPT workspaces”: switching from a personal space to a team space and back again, and how admins manage member permissions. Many people think there’s something wrong with their account, but actually they just entered the wrong ChatGPT workspace. Follow the steps below and you can usually sort it out in a few minutes.

Find the ChatGPT workspace switcher

After opening ChatGPT on the web and logging in, first look at the avatar/name area in the lower-left corner—this usually shows your current ChatGPT workspace. Click the avatar or workspace name to open the workspace list, where you can switch between “Personal” and your team/organization name.

After switching ChatGPT workspaces, the conversation list on the left may change. This is normal: you’re seeing the content and resources within that ChatGPT workspace.

The correct way to join a team ChatGPT workspace

Joining a team ChatGPT workspace usually requires an admin to send an invitation email or invite link. Open the invitation in your email, follow the on-screen prompts to confirm joining, and complete ChatGPT sign-in using the same login method (for example, if you’ve always used Google sign-in, keep using Google).

If you repeatedly try with the “same email but different sign-in methods,” it’s easy to run into issues like failing to join or ending up in the wrong ChatGPT workspace. The safest approach is to always use your original ChatGPT sign-in entry point.

How admins manage members and permissions

After entering a team ChatGPT workspace, only admins/Owners can see the member management entry. Typically, in workspace settings you can view the member list, invite new members, remove members, or adjust roles (such as member vs. admin).

Before changing permissions, it’s recommended to first confirm that you’re actually in the target ChatGPT workspace; otherwise you may mistakenly think “members can’t be found” or “settings aren’t visible.” After changing permissions, some changes may require refreshing the page or signing in to ChatGPT again to take effect.

Common issues: What to do if you can’t see a workspace or your chats are gone

If you can’t see a team ChatGPT workspace, first confirm you signed in to ChatGPT using the correct method; using different entry points with the same email may correspond to different account systems. Next, check whether you actually accepted the invitation and whether the invitation was sent to the email you’re currently using.

If your “chats disappear” after switching ChatGPT workspaces, it’s usually because the chats are stored in another ChatGPT workspace: go back to the lower-left corner and switch back to Personal or the relevant team. If you see a no-permission message, it means you’re not on that ChatGPT workspace’s member list and an admin needs to re-invite you or restore your membership.
