Exporting data in ChatGPT: where to find it and how to download

After opening ChatGPT, first go to “Settings” (usually in the sidebar under your profile avatar/menu). Find “Data controls/Data” (wording varies slightly across interfaces), then choose “Export data.” After you submit, ChatGPT will send an email to your login address; download the ZIP file via the link in that email.

If you don’t receive the email, check your spam folder first, then confirm that the email address on your current ChatGPT account is working. Corporate or school email systems sometimes block external emails; if needed, switch to an account with an address that can receive mail normally and try again.

ChatGPT exports are usually a compressed archive. After extracting it, you’ll see multiple files/folders. If your goal is to continue seeing your history on a new device, the most reliable way is to sign in with the same ChatGPT account. ChatGPT’s conversation history follows the account, not the computer; as long as the account is the same, opening ChatGPT will sync automatically. Conversely, many people export data and then sign in with a new account, and of course they see “nothing there.”

If you must change accounts (for example, your email is deactivated), you can generate share links for key conversations within ChatGPT, or copy the core content into your own note-taking tool for long-term storage. The export file can also be kept as a record, but it won’t automatically appear in the ChatGPT history list of the new account.

Privacy settings before and after backup: a checklist to avoid detours

Before exporting, it’s recommended to clean up sensitive conversations you don’t need to retain, to avoid bundling private content along with everything else. After exporting, store the archive on an encrypted drive or a trusted cloud drive, and encrypt the file/set access permissions. Finally, go back to ChatGPT’s “Data controls” and confirm whether your preferences for options such as “chat history retention” and “training usage” match your privacy needs.
