This ChatGPT user guide mainly explains three things: how to organize conversations more efficiently, how to share chat content safely, and how to adjust privacy settings to reduce information exposure. All actions are done in “Settings” and the conversation menu on the web or mobile app; following the steps usually prevents mistakes.

Enter Settings: Language, Theme, and Sidebar Experience

On the ChatGPT web version, first click your avatar (or account name) in the lower-left corner to open Settings; on mobile, Settings is usually found in the sidebar or in the personal/account center. If you want to switch the interface to Chinese, go to General, find Language, and change it—after refreshing the page, it will take effect. The theme (Light/Dark/System) is on the same page, and you can see the change immediately after switching.

Conversation Management: Rename, Archive, and Permanently Delete

When organizing chat history, locate the target conversation in the conversation list on the left and click the “…” menu next to it. You can choose Rename so similar tasks (such as “Resume optimization” or “Thesis outline”) are easier to search. If your account interface offers Archive, archiving infrequently used conversations will make the sidebar cleaner; for content you truly no longer need, it’s recommended to delete it directly, because once deleted it usually cannot be recovered.

Share Conversations: Review Content Before Generating a Link

In the ChatGPT conversation page there is usually a Share entry point. Before generating a share link, do a quick review: information such as your name, phone number, email address, or internal project names should be removed or redacted. Share links are better suited for demonstrating how you ask questions, writing structure, or coding ideas, and are not recommended for publicly sharing content that contains private or account-related information. If you only want to send it to colleagues for reference, it’s safer to copy only the trimmed key passages and paste them into your work communication tool.

Privacy and Data Controls: Turn Off Training, Use Temporary Chat

In Settings under Data controls, you can usually find a toggle like “Chat history & training.” After turning it off, new conversations generally won’t be used to improve the model, though the exact wording and behavior depend on what your interface shows. When discussing sensitive matters, consider using Temporary chat first; it’s more like a “one-time session” and doesn’t keep the content in the sidebar long-term. After changing the settings, it’s recommended to log out and log back in once to confirm the toggle state has taken effect.
