ChatGPT Desktop User Guide: Installation & Login, Account Switching, and Security Settings

This article explains clearly how to download and install the ChatGPT desktop app on your computer, what to do for your first login, and the most commonly used daily features: account switching and security settings. Just follow the steps—no extra tools needed.

Download & install: Only get it from official sources

When installing the ChatGPT desktop app, use official entry points first to avoid downloading a fake client. On Windows, it’s recommended to search for “ChatGPT” in the Microsoft Store and verify the publisher is OpenAI; on macOS, it’s recommended to go to OpenAI’s official website, enter the desktop app download page, and then install.

After installation, on first launch, if the system pops up permission prompts (such as microphone or notifications), allow them as needed; for permissions you’re unsure about, you can deny them first and adjust later in system settings.

First login: Choose one method and stick with it

After opening ChatGPT, click Log in. Common options include Google, Apple, Microsoft, or email login. It’s recommended to stick with one login method long-term: for example, if you always log in with Google, don’t switch midway to email login, to avoid confusing which account you used.

If you manage multiple identities (work/personal), confirm that the third-party account you’re about to use is the correct one before logging in—especially if you’re signed into multiple Google accounts in your browser or system.

Account switching: Logging out and back in is more reliable; separating environments is less hassle

To switch accounts in the ChatGPT desktop app, the most reliable approach is to choose Log out from your profile picture/menu first, then log in again with another account. This helps avoid mixing sessions and permissions, and keeps files and chat history clearer.

If you need to switch back and forth frequently, it’s recommended to use your “work account” and “personal account” under different system user profiles, or at least manage login states using separate browser profiles. This makes ChatGPT account management less error-prone.

Security settings: Three things to minimize risk

First, enable multi-factor authentication in your ChatGPT account settings (if your account center provides this option) and save your recovery codes. Second, make sure the email address or third-party account you use to log in to ChatGPT also has two-factor authentication enabled, because they’re effectively your “key.”

Third, when using a public computer or a temporary device, remember to log out of ChatGPT when you’re done. If you suspect someone else has logged into your account, change your third-party account password first and check recent devices and sessions, then return to ChatGPT and log in again.
